Reporting Relationships
Reports to: Dean of Instructional Support Services
Supervision Exercised: Supervision exercised over non-exempt staff and student workers in collaboration with librarians.

Job Summary:
Provides management of comprehensive circulation services to achieve optimal function of workflow and exceptional customer service in all areas, including lending of materials, course reserves, and interlibrary loan. Coordinates circulation services and general daily use of the Library in collaboration with librarians to ensure appropriate alignment with other access services and library systems.

Essential Duties and Responsibilities

  1. Coordinate all functions, duties, and initiatives of circulation services and general daily use of the Library.
  2. Plan and monitor applicable aspects of department budget.
  3. Evaluate circulation procedures and practices reflective of local data/statistics and best library practices; propose and implement operational and technological improvements.
  4. Maintain and update procedures and practices to optimize circulation services.
  5. Regularly participate in routine circulation desk duties.
  6. Oversee Interlibrary Loan and OCLC processes.
  7. Recruit, hire, and train student workers and non-exempt staff.
  8. Coordinate training, assignments, and scheduling of library staff and volunteers assigned to interlibrary loan and other circulation duties in collaboration with librarians.
  9. Maintain orderliness of library spaces and all collections including books, periodicals, reserves, audio-visuals, and other library materials.
  10. Identify and retrieve overdue materials; resolve issues arising from late, damaged, or lost materials.
  11. Work closely with faculty and academic support staff to place instructor materials and texts on reserve.
  12. Oversee account records, reconciliations, and security of cash and copier receipts.
  13. Track and provide relevant statistics and analysis of circulation activity from circulation module and other data tracking systems on a daily, weekly, monthly, and semester basis.
  14. Compile yearly circulation statistics and analysis for Library Annual Report.
  15. Provide patrons with general library and reference information; assist and instruct (in-person and virtually) in use of library services, resources, facilities, and equipment including assistive technology to accommodate users with disabilities.
  16. Provide support to and work collaboratively with librarians to meet the larger goals and initiatives of the Library, Academic Affairs, and Student Affairs,
  17. Communicate changes and new initiatives impacting circulation practices to library personnel and college staff/departments.
  18. Coordinate and assist with displays, marketing, outreach activities, and advocating for the Library.
  19. Seek and maintain memberships, associations and relationships with library organizations and peer libraries to build knowledge and inform development of your practice and processes as a Circulation Coordinator and library professional.
  20. Work flexible hours as necessary to participate in evening/weekend circulation desk coverage.
  21. Regular in-person attendance is expected.
  22. Using tact and courtesy establish and maintain effective relationships with persons contacted in the course of work.
  23. Assume additional duties as assigned.

Minimum Qualifications

  1. Bachelor's degree required. Coursework in Library Science preferred.
  2. Minimum of two years library circulation and supervisory experience required. Experience in an academic library preferred.
  3. Must possess skills and abilities that reflect comprehensive knowledge of circulation, library services, resources, and programs.
  4. Experience using an integrated library system (ILS). Experience with ExLibris Alma/Primo preferred.
  5. Leadership experience and the ability to manage others and general operations effectively.
  6. Proficient in use of social media to inform and promote library services and resources.
  7. Must possess the capacity and willingness to work both independently and collaboratively in a diverse, team-oriented, proactive service environment.
  8. Ability to manage and prioritize simultaneous projects to completion.
  9. Exceptional interpersonal, oral, and written communication skills.
  10. Proficiency in Microsoft Office Suite.

Work Environment
While performing the duties of this job, employee regularly works in library, classroom, lab, storage area, and office settings. Frequent interactions with individuals in person, by phone, online, &/or email. Intermittent exposure to individuals who may act in a disagreeable fashion.
